Detailed explanation, checklist and sources

First check legal form, financial year and filing duty. A company return differs from your personal income tax and VAT returns. Use the official return or an authorised adviser.

1. Check legal form

A BV or NV files corporation tax annually. A sole trader reports profit through income tax. Foundations and associations are liable only in certain situations: assess their conditions separately. Foreign entities and fiscal unities also require separate checks; this preparation does not decide their status.

2. Identify the financial year

For a calendar financial year, file before 1 June of the following year. For a non-calendar year, within five months after its end. A short year ending on 31 December uses 1 June next year; if it ends in another month, before 1 April of the next calendar year. Check actual year dates and any granted extension.

3. Prepare reliable figures

Prepare annual accounts, bookkeeping, earlier assessments and evidence for tax items. Accounting figures and taxable profit are not automatically the same. Have adjustments, losses, participations and special relief checked where needed. No turnover does not mean entering zero for every balance-sheet item. This is preparation, not a full tax-profit calculation.

4. Choose the filing route

File through Mijn Belastingdienst Zakelijk, suitable tax software or a tax adviser. Arrange the correct login or authorisation before the deadline; do not share credentials. Filing may be required even without a provisional assessment. Foreign taxpayers must follow their separate registration and filing route.

5. Request extension in time

Request an extension before the applicable deadline. For a calendar financial year, you can obtain an online extension until 1 November; send the request before 1 June. The current form is available from 1 March to 1 June in Mijn Belastingdienst Zakelijk. Use the official reasoned form for longer extensions or a different financial year. A request is not confirmed approval: keep the response.

6. Check receipt and assessment

Check the complete return before submission and retain receipt. Compare the later assessment with your figures. Amend an incorrect provisional assessment through its designated route; a final assessment may require the objection procedure stated on it. Filing, payment and objection are separate. Contact your adviser or Belastingdienst promptly if figures are missing or a deadline has passed.

Does my personal return also cover my BV?

No. BV corporation tax, your personal income tax and VAT are separate returns with their own information and deadlines.

Your timeline and evidence

List events and contacts. Note where you keep the evidence; no upload is needed.

What goes in my timeline?

Record what happened, when, the response and where to find the letter, message or photo. Mark uncertain dates.

Is my evidence sent?

No. You only note where it is kept. No files are uploaded or sent automatically.

How do I save my timeline?

Your entries are not saved automatically. Choose Save and continue later to store this preparation, including your timeline, in My overview. Wait for confirmation and save new changes again. You can also download a Word file without an account.

For each event, note the date, what happened and where the evidence is kept. Example: 3 October — letter received — correspondence folder.

Describe the solution you would like, such as an explanation of a deduction and repayment of the outstanding amount.

For example: which document is missing, who can provide it and what should I do first?

Record the date and its source. If unknown, note this and check promptly. This tool does not calculate or monitor deadlines.

After your conversation

These are your own notes. Confirm agreements with the other person; these notes do not prove their agreement.

This is your preparation, not a submitted request, objection or legally reviewed document. A tick records only your own progress. Check the procedure and deadline in the original letter.
